If you need to change the date or time of an event, there are a few places where you will need to make adjustments to ensure the agenda is updated and all elements are scheduled for the new date and time.
All of the changes below are made in the dashboard, within the Event, in Event Setup.
Be sure to follow the checklist to ensure all elements of the event reflect the new date and/or time.
Livestream, In-Person, and Hybrid events
Make the change in General Info by editing the Date in Time in the Date field.
This change will update the event details on the front end and also update and change the calendar invite if you have Google Calendar integration.
If you are changing the date(s) of the event, make the change in Agenda days by selecting Manage days and editing the Day(s) dates.
This change will update the agenda date(s) in the dashboard, and also in event details on the front end.
If you are changing the date and/or times of the Roundtables, make the change in Roundtables by editing the time slot(s) where the Roundtables are open.
This change will update the date(s) and time(s) any Roundtables are open for event participants.
Meeting and Webinar events
Make the change in General Info by editing the Date in Time in the Date field.
This change will update the event details on the front end and also update and change the calendar invite if you have Google Calendar integration.
If you are changing the date(s) of the event, make the change in Agenda days by selecting Manage days and editing the Day(s) dates.
This change will update the agenda date(s) in the dashboard, and also in event details on the front end.
1:1 Match events
Make the change in General Info by editing the Date in Time in the Date field.
This change will update the event details on the front end and also update and change the calendar invite if you have Google Calendar integration.
Once the changes have been made
Calendar invites
If you have enabled the Google calendar integration, all calendar invites will automatically adjust to the new date and/or time.
Note: If a registrant self-selected 'Add to Calendar' on the event with the previous date and/or time, the calendar invite will not automatically adjust to the new date and/or time. All 'Add to Calendar' requests made after the date and/or time change will reflect the change, though.
Email reminders
If you have the automated platform emails enabled (event confirmation, reminders, and post-event survey communications), they will automatically adjust to send with the new date and/or time.
Note: The platform will NOT send an email to all registrants alerting them of the date or time change. We suggest you communicate the change to registrants.
