Publish, unpublish, or delete Events, find Event Link, and view Event Metrics

For each event in your dashboard, there exists an event overview page.

In the event overview page, you can:

  • Publish, unpublish, or delete your event.

  • Find the direct URL to your event ("Event Link").

  • View the metrics for attendance and registration for your event.

  • Track the email deliveries for your event.

Publishing and Unpublishing Events

All events will remain unpublished until an admin or collaborator takes action to publish them. Unpublished events are hidden from the community's front end.

Published Events

Published events are visible and searchable on the front end of the community.

Once you have built out the event and are ready for it to "go live" for registrations and have the event shown on the community's front end, you must publish it.

You can publish an event in two ways:

  • From the event overview page:

    • Hover over the Actions dropdown menu on the top right and click on Publish.

  • From the main menu in the event dashboard:

    • Click on the green Publish button located on the very bottom of the menu.

Unpublished Events

Unpublished events are hidden from members on the front end and the community home page or event page.

Keep an event unpublished while it is in draft form, or if you want it hidden from community members, and unsearchable from the community homepage.

If you need to unpublish an event, go to the event overview page, hover over Actions on the top right, and click on Unpublish.

๐Ÿ’ก Pro Tip: Unpublished events are visible and accessible through the direct event link. If you would like to invite certain members to register and attend an event, but don't want that event visible to all members, keep it unpublished and share the event link with only the people you'd like to register and attend!

Event Link

You may want to find the direct URL to the event page, which can be shared with potential registrants and allow attendees to sign in. It can be found near the top right of the event overview page, as highlighted in yellow box in the image below:

Event Metrics

You can see the total number of registrations for any event type.

For all virtual event types and Hybrid events, you will be able to see the current and total number of attendees, as well as the highest number of attendees active at an event at one point in time ("peak attendance").

For Livestream events and Hybrid events, you can also view the analytics on livestream viewership.

Lastly, for 1:1 Match, Livestream, and Hybrid events, you can find out the total number of 1:1 Matches that happened during an event.

Note: The metrics on the overview page do not update real time, so you will have to refresh the page to update them.

Livestream and Hybrid Events

Attendance

In the Attendance section of your event overview page, you will find a graph that shows the number of attendees and viewers across points in time for the duration of an event. On the right-hand side of the graph, you can check out the total and current number of attendees/viewers, as well as the highest number of attendees/viewers active at one point in time ("peak attendance"). Also, the total number of 1:1 Matches that happened during that event will be shown on the bottom-right side of the same section.

In the Registration section of your event overview page, you will find a graph that shows the number of registrations, along with the total number of registrations and up to six recent registrations in a list.

In the Attendance section of your event overview page, you will find a graph that shows the number of attendees across points in time for the duration of an event. On the right-hand side of the graph, you can check out the total and current number of attendees, as well as the highest number of attendees active at one point in time ("peak attendance"). Below the Attendee box, you will see the total number of 1:1 Matches that happened during that event.

Registration

In the Registration section of your event overview page, you will find a graph that shows the number of registrations, along with the total number of registrations and up to six recent registrations in a list.

Meeting and Webinar Events

In the Attendance section of your event overview page, you will find a graph that shows the number of attendees across points in time for the duration of an event. On the right-hand side of the graph, you can check out the total and current number of attendees, as well as the highest number of attendees active at one point in time ("peak attendance").

Registration

In the Registration section of your event overview page, you will find a graph that shows the number of registrations, along with the total number of registrations and up to six recent registrations in a list.

In-Person Events

In the Registration section of your event overview page, you will find a graph that shows the number of registrations, along with the total number of registrations and up to six recent registrations in a list.

Email Tracking

Note: If you would like to enable this feature, please reach out to the Graduate support team.

You may want to know the open rate of your event marketing emails in order to better understand the attendee engagement. Also, you may want to see if there were any emails that have been failed to be delivered to your attendee's inbox.

Once enabled, you will be able to find the Email section in your event overview page. This tracks four types of event-related emails: Registration confirmation emails, 1-day reminder emails, 30-min reminder emails, and post-event survey emails. For each email type, you can see how many emails have been sent, opened, and bounced. On the right-hand side of that list, you will see the total number each for emails sent, opened, and bounced.

To learn more about the registrants and attendees, navigate to the Attendees tab within the Event and export a list of either group.

You can also export event reports from the Reports tab.
