Gradual Go is our on-site event mobile app that offers your attendees an elevated event experience with access to the agenda, featured speakers, and engagement opportunities.
It's important to set up and customize the app ahead of launching the app experience to your attendees. Once it's set up, it's also important to encourage your attendees to download the app leading up to showtime and guide them on the features so they get the most out of the app while they're at the event.
Below is a template draft to guide your Gradual Go mobile app activation plan and set you and your attendees up for success using the app. Technical information and setup is provided for your team, and some drafted verbiage is included as inspiration for your event communication emails and messaging.
Downloading and accessing the app
The Gradual Go app must be enabled for your event by the Gradual team.
Download
Users must have the app downloaded and installed on their devices to see the agenda and speakers and engage with other attendees via messaging and networking.
The Gradual Go app is available on Apple and Android devices, on smartphones and tablets. It can be installed by following the below links:

Send the QR code to your attendees via email and use the code on event collateral like pop-ups and posters to encourage all attendees to easily download and install the app.
Access
Users must be registered attendees to gain access to the event in the Gradual Go app.
Once installed, they will open the Gradual Go app and select the community from the options.
Note: You can choose to have your community listed as an option on the Gradual Go homepage, or hidden and accessible by a code.
They will enter their email address to sign in, which will prompt the app to send them an email with a four-digit access code.
They will enter the four-digit access code and will be granted access to all events where they are a registrant.

Once you have the app installed and downloaded, you will select <<Community Name>> from the options, and enter your email address (be sure to use the email address where you received this message). This will prompt the app to send you a four-digit access code into the <<Event Name>>.
Elements and features within the app
Many elements within the Gradual Go app elevate the experience for your attendees. Each attendee can browse and personalize their event agenda and learn more about the speakers or fellow attendees at the event. They can message others and set up a time to meet face-to-face at the event and connect in the Gradual community.
Agenda - Technical information
The agenda in the app pulls all information from the event dashboard; session titles, speakers, tracks, stages (locations), and descriptions. Any changes made in the dashboard will be updated in real-time in the app.

My Agenda
Attendees can personalize their experience by favoriting the sessions they want to attend. They can 'star' those sessions they don't want to miss and their customized agenda will populate into the 'My Agenda' tab automatically.

Once in the app, navigate to the 'Agenda' tab to learn more about each session and tracks. 'Star' any sessions you don't want to miss and the app will compile them into a personalized 'My Agenda' for you!
Speakers - Technical information
Speaker information is pulled from the event dashboard, including names, headshots, and bios. Any changes made in the dashboard will be updated in real-time in the app.
π‘ Pro Tip: The speaker list is automatically sorted in the order you add speakers to the event or agenda, but the list can be reordered from within the event dashboard > Speakers tab so your most important speakers are featured first.

Note: Speakers cannot be contacted by attendees from the 'Speakers' tab.
If you'd like Speakers to be accessible to attendees, and able to message or meet others via 1:1 meetings, you can register them for the event and mark them as 'Speaker' or 'Attendee'. If you'd like speakers to have access to the app, but not be searchable by attendees or message others, you can register them for the event and mark them as 'Guest'.

Attendees - Technical information
The 'Attendees' tab lists out all registrants to the event and allows attendees to find others, bookmark them in the community, add short notes, and message or schedule 1:1 meetings while on site. Any action they take in the app like bookmarking or messaging is reflected in the community so they can stay in touch with those they connect with at the event.
1:1 Meetings - Networking
The most engaging element in the app is the native 1:1 meeting and networking feature. This feature allows attendees to suggest a meeting with another attendee on site, and the app will do all the work for you to find a time that works at an available location.
If both parties opt-in, the app will schedule them for that time slot, at the first available location and will send each party confirmation messages.
Note: This feature must be enabled ahead of the event, and you must provide the Gradual team with the meeting specifics like location and time slots for it to work:

We suggest a quiet room or location with several tables for two people to sit and chat
When will meetings take place?
Block off time when this feature is available so it does not interfere with crucial keynotes
We suggest 15 minute time blocks so folks have enough time to introduce themselves, and have time for beneficial conversation
All scheduled meetings between attendees are tracked and can be exported from the event dashboard 'Reports' tab.
QR Codes
Each attendee has a unique QR code associated with their account in the app. This code links directly to their profile and allows users to message and connect.
Users can scan other attendees' codes through the QR code scanner icon in the upper right, or via their mobile device's camera.
Users can find their code by selecting 'Me' from the main menu, and 'My QRCode'. If you are utilizing the Gradual Check-In process and app, you can generate and print the attendees' QR codes onto their name badges for even easier scanning.
All scans between attendees, or sponsors are tracked and can be exported from the event dashboard 'Reports' tab.
Chat & messaging
Attendees can message others within the app from users' profiles or by scanning QR codes. Their messages are evergreen and can be accessed at any time from the app or in their Gradual community 'Messages' tab.
