Gradual supports on-site badge printing for your in-person and hybrid events through the Gradual Check-In App. Elevate your attendee's experience with iPad kiosk check-in, on-demand printing of their name tags and badges, and seamless data transfer to your dashboard for event metrics tracking.
Check-in App
The check-in app is available to all Gradual customers and offers you elevated check-in elements that will make your, and your event organizer's lives easier.
Attendees can check-in on iPads, using their email or name, agree to terms and conditions like NDAs or photo releases, and print their name tags on-demand in seconds.
Printing name badges from your Gradual events is supported via this app and using iPads. Learn all about the check-in app and how to set it up here.
Badges & Name tags
Avoid the waste and energy it takes to pre-print badges for all your registrants and offer on-demand name tag printing at your events. There are two levels of badge printing available with Gradual, label or 'sticky' name tags, and PVC plastic 'fancy' badges that attach to lanyards.
Label or 'Sticky' name tags
Printing attendees' data on labels, or 'sticky' name tags is available natively in the check-in app when set up with a small Brother label printer & iPad on site.
Pro Tip: Order a fleet of printers, labels, and iPads and this type of name tag printing can be set up quickly and repurposed at events with ease.
Labels
The name tags are small sticky labels that can be affixed to an attendee's clothing, or to another badge. The printers can print on white labels, or on clear labels to accommodate where the labels will be affixed.
Ordering labels
These can be ordered from a variety of vendors like Amazon, etc.
The white labels are Brother DK-2205
The clear labels are Brother DK-2113
These labels will print at a size of 2.4 x 3.6 inches (H x W).
If you are affixing them to a pre-printed, larger name badge, we recommend the pre-printed badge be at least 3.75" wide to accommodate the sticker label.
Here is an example of the white label name tag affixed to a plastic badge.
Badge templates
There are currently four badge templates available for you to use through the Gradual check-in app. Some of the templates include a QR code that is linked to the attendees in the Gradual Go event app, the community's logo, or simply the attendee's information.
To set your preferred template, log into the check-in app & select the settings icon or the Admin button, and scroll down to Badge Template, this will open a new page that displays the four templates.
Template A: Includes community Logo, First Name, Last Name, Title & Company
Template B: Includes community Logo, First Name, Last Name, Title & Company + Attendee QR Code
Template C: Includes First Name, Last Name, Title & Company
Template D: First Name, Last Name, Title & Company + Attendee QR Code
The system will use the 'Wide Logo on Light Background' from your dashboard community settings for the logo on these badges. This logo will be black and white as the Brother printers do not print in color.
We do not currently support customization of the badge templates available in the check-in app. The four options are all that are available today.
Printer
The printer used for the label or 'sticky' badges is a Brother QL-820NWB and prints in black and white. It can be ordered from a variety of vendors like Amazon, etc.
You will need one printer per iPad kiosk check-in, as multiple iPads cannot be connected to one printer via Bluetooth. We recommend at least one check-in kiosk set up (iPad and printer) per 100 attendees.
There are limited printers available for rental or demo through Gradual. Please reach out to us if that'd be a better solution for your event.
On-Site Setup
Follow the steps outlined in this resource to set up the iPad, templates and printers.
Pro Tip: Set up check-in for testing ahead of the event to ensure the badge template is accurate and the team is prepared for showtime.
PVC Plastic Badges
Printing attendees' data on PVC cards, or 'fancy badges,' is available and supported using the check-in app with guidance and contracted support from the Gradual team.
Contracted event support is required for this level of badge printing and check-in as it involves additional configuration, supplies and hardware, and the Gradual team to be on-site during the event. This comes at an additional cost and involves a longer timeline so reach out to the team as soon as possible to start the conversation.
Badges
The PVC plastic badges are larger card badges that can be designed to match your company and event's branding. They can be double-sided, full-color and offer a more durable option for your event.
The PVC plastic badges are cards that are 3.5β wide x 5.5" high, and 24 mil thick. They can be printed with a single punch hole at the top for single-clasp lanyards, or a double punch hole at the top for two-clasp lanyard designs.

Here is an example of the PVC badge with the double punch lanyard design.
Configuring the badge designs and facilitating the card order is included in the contracted support through the Gradual team.
Badge Templates
You can design these badges to print attendees' data following a designated template to feature the elements you prioritize at your event.
These are the fields/values on the attendees' accounts that are available to map onto the badge:
First Name
Last Name
Company
Title
QR Code (links to the users' profile in the Gradual Go event mobile app)
Attendee Type - The current options for this are:
'Attendee'
'Guest'
'Speaker'
'Host'
'Staff'
'Sponsor'
'Press'
We cannot support customization or adding data to map to the badges at this time.
Printer & Hardware
All hardware, including the printer, PC laptop, and iPads used for printing the PVC plastic badges on-site will be included in the contracted support through the Gradual team.
