Customizing system emails is an easy way to create a consistent, branded experience across your community.
To enable this feature, reach out to our support team at [email protected]. Once enabled, you’ll be able to edit and preview your system emails directly in the dashboard.
Accessing System Email Settings
Head to your dashboard and go to Settings > System Settings > System Emails Customization > Manage.
Here you’ll see a list of available system emails for your community, including the Community Welcome Email and Club Welcome Email. If enabled for your community, Club Welcome Emails can also be customized at the club level.
From this page, use the Actions dropdown on the right-hand side to edit or send a test email.
Editing an Email
When you select Edit, the email editor will open with options at the top to edit the email subject, save changes, cancel edits, or revert the template back to default.
You can also click the back or forward arrow to undo/redo recent edits.
A Preview button in the top right corner lets you see how the email will look before sending or saving.
Customizing Email Content
The drag-and-drop editor allows you to personalize each email with your own text, buttons, and layout.
Use the left-hand panel to add new elements like text blocks or buttons.
Click on any element within the email body to edit its content.
Adjust layout, padding, and text styling from the right-hand panel.
In Club Welcome Emails, you can also add links to the club’s Events page and Discussions page in text and button elements. This is available in both the community default Club Welcome Email and club-specific customized versions.
Sending a Test Email
Once you’ve customized your design, return to the System Emails Customization page and use the Actions menu to send a test email. This helps confirm that your layout, links, and formatting look correct.
For Club Welcome Emails, links to the club’s Events page or Discussions page will open those pages when they are enabled for that club. If either page is not enabled, the link will direct members to the club homepage instead. The same link behavior applies when previewing or sending a test email.
Customizing Club Welcome Emails at the Club Level
If this feature is enabled for your community, Community Admins can allow individual clubs to override the default Club Welcome Email.
To turn this on, go to Clubs > Club Settings and find the Club Autonomy section. Turn on Allow clubs to customize Club Welcome Email.
Once enabled, Club Admins and Community Admins will see a Club Welcome Email section on the club’s Settings page.
By default, clubs use the community’s default Club Welcome Email. To create a club-specific version, click Customize the club welcome email.
If club-level customization is turned off by the community admin, this option is disabled and the club will use the community-level Club Welcome Email.
After a custom email has been created, the club can choose between:
Use default email to send the community-level Club Welcome Email
Use customized welcome email to send the club’s custom version
When a custom email is in use, admins can also View or Edit it from the same section.
This option is only available for Public and Private clubs. It does not appear for Secret clubs.
Admins can also send a test email while editing. Test emails can only be sent to a Community member email address.
If a club switches back to Use default email, the club will send the community-level Club Welcome Email again.
Club Welcome Emails do not include the footer message (“You received this email because you joined…”) that appears in some other email types, because this is a transactional email.
Customizing Event Registration Emails
The ability to customize event registration emails is available when requested. Event emails use the same email builder, but are accessed from the event’s Emails tab.
If enabled for your community, you can also customize event reminder emails from the same area. This includes the reminder email sent 1 day before the event and, for meeting and webinar events, the reminder email sent 30 minutes before the event.
Once a custom reminder email has been created, you can choose whether to send the default email or the custom version for that reminder. Switching back to the default email will not delete your saved custom version.
