Member List Segments

Build lists of users to segment your membership and more easily import to events, spaces, clubs, and more

Member list segments allow you to build lists of your users to categorize and target members based on custom attributes and behaviors. These segment lists are saved in your dashboard and can be built and customized by dashboard admins.

Note: In the initial phase of this feature, the segments are static and will not change or update dynamically with profile changes or member activity.

NEW! You can now use these segments to import members to Spaces, event registration, or invite lists, and to clubs instead of uploading a CSV, too!

Create a Segment

Follow these steps to create a segment directly from your Gradual dashboard:

  1. Go to the Members section in your admin dashboard and click on the Segments tab

  2. Click the “+ Create Segment” button, and you’ll be brought to the segment builder

  3. List a name for your segment, and a description to help define what users will be added to that Segment

  4. Save your work by selecting 'Next'

You may add up to 20 segments to your dashboard.

Add Members to a Segment

You can add users manually, upload via CSV file, or use a filtering query native to the dashboard. Users added to the segment(s) must be members of the community.

To add members to a segment, select the +Add Members button in the upper right of the Segment's dashboard page.

There is a limit of 2000 members per segment.

Manually Add

You can select members from the member list to add to the segment list.

The members listed and available to add to segments include approved, pending approval, and unapproved users.

You can search by name, email, and title/organization from this pop-up to help you add the correct users.

Import from CSV

You can import members to add to the segment list. The only required field to add members to a segment is their email address, so the template is very simple.

Users added must already be members to the community, so this import will not add members to the community.

Add by Query

You can use the system's condition filtering query to build a segment list of your members dependent on profile data, activity, etc.

Define Your Filters

  1. Select + Add Condition to start filtering the membership list

  2. Choose one or more filters to narrow down your list

    1. Filter types include:

      1. Member attributes (e.g. role, title, organization)

      2. Member type (e.g. standard, unapproved)

      3. Activity-based filters (e.g. sign up date, completed onboarding)

      4. Space assignment(s)

      5. Club assignments(s)

  3. Combine multiple filters with AND/OR logic for flexibility

Preview Your List

As you define filters, a real-time preview shows how many members match. Click to explore the list and verify it includes who you expect.

Remove Members from a Segment

To remove a member, you will navigate into the Segment list, and select the edit icon in line with the member you'd like to delete. Select Remove Member and the user will be removed from the Segment list.

Note: You cannot bulk remove members from Segment lists, but you can delete the entire segment if need be.

Managing and Updating Segments

The Segments page in the dashboard provides helpful information on your Segments like dates when the list was added or updated, by whom, and the number of members in the segment list.

If you want to make changes to the segment, select the edit icon in line with the Segment.

Edit Segment

If you'd like to add members to the Segment, clone or delete it, select 'Edit Segment' from the drop down.

Note: You cannot change the name of the segment, but that title is internal to admin dashboards only.

Clone Segment

If you'd like to clone the segment, select the 'Clone Segment' action from the drop-down. This will make a copy of the segment and the clone will include all members of the original segment.

Delete Segment

You can delete the segment list if it is no longer needed. This action cannot be reversed.

Export Members from Segment

To export the list of members from the segment:

  1. Select the Segment from the list

  2. Click the Action button in the upper right

  3. Select 'Export' from the drop-down list

This will generate a CSV file of all members in the segment to the email address of the admin who requested the export.

Using the Segments

The segments that you have built can be used to import members to Spaces, to events as registrants or invitees, and clubs. This is an alternative to using a CSV import in these instances.

Spaces

You can use a segment member list to add users to your community's spaces.

  1. Navigate to the main dashboard and to the Spaces tab

  2. Build the space or select the space from the lis

  3. Select the 'Import from Segment' button in the upper right

  4. Select the segment you'd like to import from the list

    1. Note: You can only add one segment list at a time

  5. Select 'Next' to proceed, confirm all members are listed (there may be multiple pages of members), and select 'Start import' to proceed

  6. The system will run the import and send you an email with the results to your inbox

    1. Users who are already club members will be skipped during import

Events

Registrations

You can use a segment member list to register attendees for your event via the dashboard.

  1. Navigate to the event dashboard and to the Attendees tab

  2. Select Import attendees in the upper right

  3. Select Import by segment from the drop-down

  4. Select the segment you'd like to import from the list

    1. Note: You can only add one segment list at a time

  5. Select 'Next' to proceed, confirm all members are listed (there may be multiple pages of members), and select 'Next' to proceed

    1. Note that any limited approval members will fail to add to in person, hybrid, webinar or meeting events.

  6. Select the Attendee type from the drop-down menu and the ticket type from the ticket type drop-down menu. Select 'Start import' to continue.

  7. The system will run the import and send you an email with the results to your inbox

    1. Existing attendees will be skipped during import

    2. If the event belongs to a private or secret club, members who haven't joined the club will be automatically added to the club

Registrants added via this method will not receive any email notifications and will not receive email reminders or the calendar invite if integrated with Google Calendar.

Note: Event Permissions or Collaborators at the Manager or Editor level cannot import or use segment lists.

Invitation List

You can use a segment member list to build your invite list for an event. Follow the steps in this resource to create an invite only ticket or event, and then navigate to the 'Invitation' section of the event dashboard.

  1. Select the +Invitee list button in the upper right

  2. Select the segment you'd like to import from the list

    1. Note: You can only add one segment list at a time

  3. Select 'Next' to proceed, confirm all members are listed (there may be multiple pages of members), and select 'Next' to proceed

  4. Select the Attendee type from the drop-down menu and the ticket type from the Invitation ticket type drop-down menu. Select 'Start import' to continue.

  5. The system will run the import and send you an email with the results to your inbox

Clubs

You can use a segment member list to add users to your community's clubs (interest groups or chapters).

  1. Navigate to the main dashboard Club's tab, and select the chapter or interest group where you'd like to add members

  2. Select the Members tab once within the club dashboard

  3. Select the 'Import from Segment' button in the upper right

  4. Select the segment you'd like to import from the list

    1. Note: You can only add one segment list at a time

  5. Select 'Next' to proceed, confirm all members are listed (there may be multiple pages of members), and select 'Start import' to proceed

  6. The system will run the import and send you an email with the results to your inbox

    1. Existing members will be skipped during import

Note: Club Permissions at the Manager or Editor level cannot import or use segment lists.

Sending communications

This feature is a building block for the workflow feature that will be launched later this year in Gradual. Today, you can build the segment member lists to better group members and build lists to send communications and notifications using your email or communication platform.
