Club Admin: Content Guide for Events: Creating, Managing, and Hosting Events

How Club Admins can create, manage, and host events.

As a Club Admin, you have the highest level of access for creating, configuring, and managing events. This guide walks you through Overview, Setup, and Permissions so you can run events efficiently from start to finish.

If you are a Club Manager or Club Editor, you may not see all controls or functionality listed below in your dashboard. The community admin or club admin can control the level and controls for you.

Creating and Editing an Event

Creating a New Event

To create a new event, go to the Events tab and click the “+ Create an Event” button located in the top right corner.

Event Overview

The Overview tab provides a snapshot of your event, including registration metrics and visibility settings.

Use the Actions button (top-right of the Overview page) to publish or unpublish your event.

  • Published events are visible to members on the club front end.

  • Unpublished events remain hidden but are accessible via direct link, useful for previews or private invites.

Delete Events

From the same Actions menu, select Delete and confirm. This permanently removes all attendee data, registrations, calendar links, and analytics.

Event Links

The direct event link is displayed at the top of this page for easy sharing with members or internal stakeholders.

Event Setup

The Event Setup section is where you configure the structure, details, and presentation of your event.

Areas to Configure:

  • General Info
    Edit the event title, date, time zone, and location. For in-person events, provide the full physical address.

  • Admit Attendees
    Decide when attendees can access the event:

    • When Event Begins: Opens at the scheduled start time.

    • At Specified Time: Opens earlier or at a custom time.

  • Cover Image & Description
    Upload a custom image (JPG, under 5MB) and write a detailed description using headings, bullet points, and embeds.

  • Tags & Organizers
    Add tags for categorization and search optimization, and assign the organizing individual or organization.

  • Agenda, Tracks, and Stages
    Build the schedule, group sessions into tracks, and configure livestream stages if applicable. Learn more about agendas here.

  • SEO Settings
    Customize the event’s meta description and social sharing image to improve discoverability.

Attendees Tab

The Attendees tab lets you view and manage everyone registered for the event.

Club Admin Capabilities:

  • View complete attendee details, including email, ticket type, and registration date.

  • Cancel or remove registrations.

  • Edit attendee profiles (name, company, title, LinkedIn URL, headshot).

  • Control whether attendees are visible on the front end.

  • Highlight specific attendees by marking them as "featured."

Note: Attendees registered through an external form must be uploaded manually.

Ticket Setup

The Ticket Setup section customizes the registration and ticketing process.

Key Functions:

Ticket Types

Create free or paid tickets, set limits, add descriptions, and apply pricing. Learn all about tickets here.

Invitation-Only Tickets

Restrict access via codes or email lists. Optionally collect interest from those not invited. Learn more about invite only events and tickets here.

Paid ticketing requires you to connect your payment processor with Gradual. This is something your community admin will need to handle.

Recordings

The recording tab houses all event recordings, you can download and share recordings with the community. After the event, open the Recordings tab to find all available recordings. Learn more about recording in Gradual here.

Hosting an Event

Once your event is published and set up, you’ll use the Club Admin Dashboard to manage the live experience. This section covers tools and actions you can take during the event itself.

Accessing the Live Environment

From the event overview, use the event links to access the event and the preview.

  • You and any registered attendee can enter early using the event preview link.

  • Share the direct event link with attendees in advance to minimize last-minute access issues.

Managing Attendees in Real Time

  • View attendees in the Attendees tab.

  • Search for specific names to view member profiles.

  • Use the actions dropdown to cancel registration or feature an attendee.

Using Notifications & Alerts

  • Prepare pop-up Notifications to guide attendees or share updates.

  • Remind attendees to refresh their browser or switch to Chrome/Safari if they experience issues.

  • Verify that they are logged in with the correct email.
